Masonic Villages at Elizabethtown is seeking Administrative Assistant I for our Personal Care department.

What You'll Do:

As an Administrative Assistant I, you will carry out our Mission of Love by assists the officer/executive, corporate or department director/administrator in the execution of his/her responsibilities and provides comprehensive and diversified administrative support services in a professional and organized manner. Our Administrative Assistant I will be responsible for the following:

  • Provides administrative support services to maintain department files in an accurate and efficient manner.
  • Prepares and distributes correspondence, compiles reports, dashboards, updates policies and procedures, creates forms, and completes other documentation as needed and directed.
  • Assists with payroll review, maintains budget information and schedules and tracks staff performance appraisal conferences.
  • Answers telephone calls and relays messages in a professional and efficient manner.
  • Provides customer support for employees and residents.
  • Issues, prepares, and processes material requests, purchase orders and invoices as needed in a timely and accurate manner.  Maintains records of purchases.  Orders, maintains, and monitors use of supplies.  Coordinates with finance to insure timely payment.
  • Attends meetings, maintains meeting notes, and prepares written reports as needed and directed.
  • Works on special projects and programs related to enhancing the quality of services.
  • Provides additional support to the HCS Administration office on a regular basis.

What You Definitely Have:

  • High School graduate or equivalent.
  • Three years of related experience required. Business courses or background preferred.
  • Current knowledge of office software such as Microsoft Word, Excel, or related software.
  • Current knowledge in the operation of general office equipment.
  • Ability to type a minimum 55 words per minute.
  • Effective written and oral communication skills required. Effective organizational skills required.
