What You'll Do:

As a Event Coordinator, you will carry out our Mission of Love by assisting the Event Planning Department in the execution of their responsibilities and performs a comprehensive variety of services in a professional and organized manner.

Our Event Coordinator is responsible for the following:

  • Effectively uses the EventPro software to be able to schedule events, correct problems, run reports, instruct on usage of software, capabilities of each room, and able to exercise independent judgment on selecting alternate spaces to make setup or usage flow.
  • Responsible to work directly with groups on set-up needs, menus, sending confirmations, checking set-up before events, greeting/meeting groups and provide instruction on use and/or troubleshoot audio visual equipment, computer, PA system, lights, heating, air-conditioning, emergency procedures, etc. Assigned on-call duty for programs and groups.
  • Responsible to check food contracts, make needed changes, negotiate combined menu's between two or more groups in combined settings.
  • Prepares or assists in preparing memos, reports, annual budget, policies, procedures, and correspondence. Performs office duties such as sending and retrieving mail, faxing, and copying.
  • Updates and maintains accurate files of all memos, reports, budgetary information, policies, equipment reservations, procedures, and correspondence.
  • As a front line representative of the Masonic Villages', communicates with customers by phone or in person in a polite professional manner to further the positive reputation of the organization. Makes follow-up calls to outside vendors and other customers.

What You Have:

  • Bachelor's Degree in Hotel or Resort Management or related subject preferred or equivalent experience (at least 5 years).
  • Advanced computer skills required including Microsoft, Word, Excel and PowerPoint. Use of EventPro helpful, but not required.
  • Ability to effectively compose correspondence and converse with residents, employees, visitors, and the general public in a manner favorably reflecting upon the Masonic Villages.
  • Must possess and maintain a current valid Pennsylvania driver's license with a good driving record.
  • Must be able to carry on favorable and professional communication with employees, visitors, and the general public in a manner which will reflect favorably upon the Masonic Villages.
  • Must have advanced knowledge of sound systems, computer, and audio-visual equipment and the willingness to become proficient in the operation of them.
